The Hosted Crates operates this store and website, including all related information, content, features, tools, products and services, in order to provide you, the customer, with a curated shopping experience (the "Services"). The Hosted Crates is powered by Shopify, which enables us to provide the Services to you. This Privacy Policy describes how we collect, use, and disclose your personal information when you visit, use, or make a purchase or other transaction using the Services or otherwise communicate with us. If there is a conflict between our Terms of Service and this Privacy Policy, this Privacy Policy controls with respect to the collection, processing, and disclosure of your personal information.

Personal Information We Collect or Process

We may collect or process the following categories of personal information, including inferences drawn from this personal information, depending on how you interact with the Services, where you live, and as permitted or required by applicable law:
- Contact details including your name, billing address, delivery or event address, phone number, and email address
- Financial information including credit card, debit card, and financial account numbers, payment card information, financial account information, transaction details, form of payment, payment confirmation and other payment details.
- Account information including your username, password, security questions, preferences and settings.
- Transaction and reservation information including experiences, packages, add-ons, dates, guest-count selections, items you view or add to your cart, Reservation Requests, approved reservations, payments, cancellations, date transfers, refunds, Security Deposit activity, and past transactions.
- Communications with us including the information you include in communications with us, for example, when sending a customer support inquiry.
- Device information including information about your device, browser, or network connection, your IP address, and other unique identifiers.
- Usage information including information regarding your interaction with the Services, including how and when you interact with or navigate the Services.
Personal Information Sources
We may collect personal information from the following sources:
- Directly from you including when you create an account, visit or use the Services, communicate with us, or otherwise provide us with your personal information;
- Automatically through the Services including from your device when you use our products or services or visit our websites, and through the use of cookies and similar technologies;
- From our service providers including when we engage them to enable certain technology and when they collect or process your personal information on our behalf;
- From our partners or other third parties.
How We Use Your Personal Information
Depending on how you interact with us or which of the Services you use, we may use personal information for the following purposes:
- Provide, Tailor, and Improve the Services. We use your personal information to provide and improve the Services, including to review Reservation Requests, manage approved reservations, process payments and refunds, administer Security Deposits, schedule local delivery and pickup, communicate about your reservation, remember your preferences and experiences or add-ons you are interested in, create and manage your account when applicable, provide customer support, prevent fraud, and improve the customer experience. This may include using your personal information to better tailor and improve the Services.
- Marketing and Advertising. We use your personal information for marketing and promotional purposes, such as to send marketing, advertising and promotional communications by email, text message or postal mail, and to show you online advertisements for products or services on the Services or other websites, including based on experiences, products, or services you previously viewed, added to your cart, requested, or reserved and other activity on the Services.
- Security and Fraud Prevention. We use your personal information to authenticate your account, to provide a secure payment and reservation experience, detect, investigate or take action regarding possible fraudulent, illegal, unsafe, or malicious activity, protect public safety, and to secure our services. If you choose to use the Services and register an account, you are responsible for keeping your account credentials safe. We highly recommend that you do not share your username, password or other access details with anyone else.
- Communicating with You. We use your personal information to provide you with customer support, to be responsive to you, to provide effective services to you and to maintain our business relationship with you.
- Legal Reasons. We use your personal information to comply with applicable law or respond to valid legal process, including requests from law enforcement or government agencies, to investigate or participate in civil discovery, potential or actual litigation, or other adversarial legal proceedings, and to enforce or investigate potential violations of our terms or policies.
How We Disclose Personal Information
In certain circumstances, we may disclose your personal information to third parties for legitimate purposes subject to this Privacy Policy. Such circumstances may include:
- With Shopify, vendors and other third parties who perform services on our behalf (e.g. IT management, payment processing, data analytics, customer support, cloud storage, fulfillment and shipping).
- With business and marketing partners to provide marketing services and advertise to you. For example, we use Shopify to support personalized advertising with third-party services based on your online activity with different merchants and websites. Our business and marketing partners will use your information in accordance with their own privacy notices. Depending on where you reside, you may have a right to direct us not to share information about you to show you targeted advertisements and marketing based on your online activity with different merchants and websites. You can exercise your rights to opt-out of those uses here .
- When you direct, request us or otherwise consent to our disclosure of certain information to third parties, such as to ship you products or through your use of social media widgets or login integrations.
- With our affiliates or otherwise within our corporate group.
- In connection with a business transaction such as a merger or bankruptcy, to comply with any applicable legal obligations (including to respond to subpoenas, search warrants and similar requests), to enforce any applicable terms of service or policies, and to protect or defend the Services, our rights, and the rights of our users or others.
Relationship with Shopify
The Services are hosted by Shopify, which collects and processes personal information about your access to and use of the Services in order to provide and improve the Services for you. Information you submit to the Services will be transmitted to and shared with Shopify as well as third parties that may be located in countries other than where you reside, in order to provide and improve the Services for you. In addition, to help protect, grow, and improve our business, we use certain Shopify enhanced features that incorporate data and information obtained from your interactions with our Store, along with other merchants and with Shopify. To provide these enhanced features, Shopify may make use of personal information collected about your interactions with our store, along with other merchants, and with Shopify. In these circumstances, Shopify is responsible for the processing of your personal information, including for responding to your requests to exercise your rights over use of your personal information for these purposes. We do not guarantee and are not responsible for the privacy or security of such sites, including the accuracy, completeness, or reliability of information found on these sites. Information you provide on public or semi-public venues, including information you share on third-party social networking platforms may also be viewable by other users of the Services and/or users of those third-party platforms without limitation as to its use by us or by a third party. Our inclusion of such links does not, by itself, imply any endorsement of the content on such platforms or of their owners or operators, except as disclosed on the Services.
Children's Data
The Services are not intended to be used by children, and we do not knowingly collect any personal information about children under the age of majority in your jurisdiction. If you are the parent or guardian of a child who has provided us with their personal information, you may contact us using the contact details set out below to request that it be deleted.As of the Effective Date of this Privacy Policy, we do not have actual knowledge that we "share" or "sell" (as those terms are defined in applicable law) personal information of individuals under 16 years of age.
Security and Retention of Your Information
Please be aware that no security measures are perfect or impenetrable, and we cannot guarantee "perfect security." In addition, any information you send to us may not be secure while in transit. We recommend that you do not use unsecure channels to communicate sensitive or confidential information to us.
How long we retain your personal information depends on different factors, such as whether we need the information to maintain your account, to provide you with Services, comply with legal obligations, resolve disputes or enforce other applicable contracts and policies.
Your Rights and Choices
Depending on where you live, you may have some or all of the rights listed below in relation to your personal information. However, these rights are not absolute, may apply only in certain circumstances and, in certain cases, we may decline your request as permitted by law.

We will not discriminate against you for exercising any of these rights. We may need to verify your identity before we can process your requests, as permitted or required under applicable law. Before accepting such a request from an agent, we will require that the agent provide proof you have authorized them to act on your behalf, and we may need you to verify your identity directly with us. We will respond to your request in a timely manner as required under applicable law.

International Transfers
Please note that we may transfer, store and process your personal information outside the country you live in.
If we transfer your personal information out of the European Economic Area or the United Kingdom, we will rely on recognized transfer mechanisms like the European Commission's Standard Contractual Clauses, or any equivalent contracts issued by the relevant competent authority of the UK, as relevant, unless the data transfer is to a country that has been determined to provide an adequate level of protection.

We may update this Privacy Policy from time to time, including to reflect changes to our practices or for other operational, legal, or regulatory reasons. We will post the revised Privacy Policy on this website, update the "Last updated" date and provide notice as required by applicable law.

THE HOSTED CRATES
RETURN, CANCELLATION AND REFUND POLICY

The Hosted Crates provides temporary event rentals and ready-to-style rental experiences. Rental items remain the property of The Hosted Crates and are reserved for specific dates. Traditional retail returns and exchanges do not apply.
This policy explains the Reservation Request process, payments, cancellations, refunds, reservation changes, date transfers, custom or personalized items, and the refundable Security Deposit.
1. RESERVATION REQUEST
Completing the initial checkout or reservation process submits a Reservation Request only.
A Reservation Request does not confirm the reservation, guarantee the requested date, guarantee inventory or add-on availability, or guarantee delivery availability. No rental payment or Security Deposit is due solely because a Reservation Request has been submitted.
The Hosted Crates reviews the requested date, package, guest count, add-ons, delivery location, service area, inventory, access requirements, styling information, and other relevant reservation details before approving or declining the request. Reservation Requests are generally reviewed within 24 to 48 hours.
2. APPROVAL AND CONTRACT
If The Hosted Crates approves the Reservation Request, the customer will receive a Reservation Contract containing the approved reservation details and pricing together with the Rental Agreement, Policies & Liability Acknowledgment.
The customer must review, electronically sign, and return the required agreement before an Initial Payment Request is issued.
A reservation is confirmed only after
• The Hosted Crates approves the Reservation Request;
• the customer electronically signs and returns the required contract and Rental Agreement;
• The Hosted Crates issues the Initial Payment Request; and
• the required Initial Payment is successfully received by the applicable deadline.
3. INITIAL PAYMENT
After the signed contract and Rental Agreement are returned, The Hosted Crates will send an Initial Payment Request equal to 50% of the approved package and add-ons subtotal.
For purposes of this policy, the package and add-ons subtotal is calculated before the Security Deposit and before separately stated taxes, delivery charges, extended-delivery charges, custom-item charges, or other approved charges unless the signed contract expressly states otherwise.
The Initial Payment is due within 24 hours from the time the payment request is sent unless another written deadline is provided.
If the Initial Payment is not received by the deadline, The Hosted Crates may release the date and inventory, cancel the approval, or require a new Reservation Request. The Hosted Crates is not required to continue holding inventory, delivery capacity, or pricing after the deadline has passed.
4. FINAL PAYMENT
The Hosted Crates will generally send the Final Payment Request approximately 72 hours before the scheduled event date.
The Final Payment Request includes the remaining 50% of the approved package and add-ons subtotal, the required Security Deposit, and any remaining approved charges, including applicable taxes, delivery charges, extended-delivery charges, custom-item charges, or other approved amounts.
The Final Payment and Security Deposit are due by the deadline stated in the Final Payment Request and must be received before delivery. The Hosted Crates may suspend preparation or delivery when a required agreement, signature, Initial Payment, Final Payment, Security Deposit, or other required payment is not completed by its due date.
5. SECURITY DEPOSIT
A refundable Security Deposit is required before delivery.
• Standard reservations: $100 Security Deposit.
• Reservations that include Projector + Screen: $150 total Security Deposit.
The $150 Security Deposit replaces the standard $100 Security Deposit and is not added to it.
The Security Deposit is separate from the package and add-ons subtotal and is not applied toward the rental price.
The Security Deposit may be applied toward documented charges permitted by the Rental Agreement, including missing, lost, stolen, damaged, or unreturned items; missing accessories or packaging; Excessive Soiling or cleaning beyond ordinary post-rental cleaning; stains, odors, smoke, wax, moisture, weather, heat, or pet-related damage; unauthorized alteration or misuse; failure to follow setup, safety, cooling, folding, or repacking instructions; additional retrieval or recovery attempts; additional travel or labor; repair, replacement, sourcing, transportation, or loss-of-use expenses; and applicable taxes where required.
Normal Wear and Tear resulting from proper and reasonable use will not be deducted from the Security Deposit.
The Security Deposit does not limit the customer's financial responsibility. If documented charges exceed the Security Deposit, the customer remains responsible for the remaining balance.
6. SECURITY DEPOSIT RETURN
After Company retrieval, The Hosted Crates will inspect and verify the returned rental items.
The unused portion of the Security Deposit will generally be processed for return within 3 to 5 business days after return verification is completed.
If an item is missing or requires additional cleaning, repair, replacement research, or other review, the refund may be delayed while the applicable amount is reasonably verified. When a deduction is made, The Hosted Crates will provide a description of the charge and supporting documentation when reasonably applicable.
Any remaining Security Deposit balance will be returned to the original payment method when possible. The customer's bank, card issuer, or payment provider may require additional processing time after The Hosted Crates initiates the refund.
7. INSPECTION AFTER DELIVERY
The customer must inspect the rental inventory promptly after delivery.
Missing, incorrect, damaged, incomplete, or nonworking items must be reported to contact@thehostedcrates.com within two hours after delivery or before the event begins, whichever occurs first. Photos or video may be requested.
If an issue is not reported during the inspection period, the rental items may be presumed to have been delivered complete and in acceptable condition, except for a defect that could not reasonably have been discovered during the initial inspection.
8. CANCELLATION BEFORE CONFIRMATION
A Reservation Request may be withdrawn before the reservation becomes confirmed.
Because no rental payment is required at the initial Reservation Request stage, there is ordinarily no rental payment to refund if the customer withdraws before making the Initial Payment.
If The Hosted Crates declines the Reservation Request, no rental balance is owed unless the customer separately approved a nonrefundable custom, special-order, or third-party expense in writing.
If an approved customer fails to return the signed contract or fails to make the Initial Payment within the required period, The Hosted Crates may close the Reservation Request and release the date and inventory.
9. CANCELLATIONS AFTER CONFIRMATION
All cancellation requests must be submitted in writing to contact@thehostedcrates.com. Cancellation deadlines are measured from the scheduled delivery date, not the event date.
Seven or More Calendar Days Before Delivery
When a confirmed reservation is canceled seven or more Calendar Days before scheduled delivery, eligible rental payments may be refunded less disclosed and already-incurred nonrefundable amounts, including custom work for which production has begun, special-order purchases, legally nonrefundable payment-processing amounts, nonrecoverable third-party expenses, or other reservation-specific costs already incurred.
If the Security Deposit has already been collected, the unused Security Deposit will be returned unless needed to cover another documented amount owed.
Within Seven Calendar Days Before Delivery
When a confirmed reservation is canceled fewer than seven Calendar Days before scheduled delivery, The Hosted Crates may retain a reasonable Cancellation Charge from amounts paid to cover costs and losses already incurred, including committed inventory, preparation, cleaning and sanitizing, packing, custom preparation, route planning, labor, lost booking opportunity, legally nonrefundable payment-processing amounts, special-order materials, and nonrecoverable third-party expenses.
The Hosted Crates will review the reservation and determine whether a partial refund, credit, or other adjustment is available. A date transfer is not available within this window under the standard one-time transfer policy.
Any unused Security Deposit will be returned if rental items were not delivered and no other documented amount is owed.
Forty-Eight Hours or Less, Route Execution, Failed Access, or Attempted Delivery
A reservation canceled 48 hours or less before scheduled delivery, canceled after route execution begins, or affected by failed access, missed delivery, or attempted delivery may be treated as fulfilled in whole or in part. Any refund, credit, or adjustment will depend on work performed, costs incurred, inventory commitment, route execution, and delivery status.
After Delivery
After the reservation has been delivered, accepted, or made available at the designated Delivery Location, the rental is considered fulfilled and is not eligible for a cancellation refund. Failure to use the items, reduced attendance, venue restrictions, weather that does not qualify as a Force Majeure Event, personal scheduling changes, guest cancellations, or a decision not to proceed with the event after delivery does not create a right to a rental refund.
The Security Deposit remains subject to the inspection, deduction, and return process described above.
10. ONE-TIME DATE TRANSFER
A confirmed reservation may receive one approved date transfer when the customer submits written notice at least 14 Calendar Days before the scheduled delivery date.
The requested new date is subject to inventory, delivery-route, retrieval-route, labor, seasonal availability, service area, and operational capacity.
A date transfer is not confirmed until The Hosted Crates approves it in writing and any required replacement Reservation Contract or updated agreement has been completed.
Once the permitted date transfer has been used, additional date transfers are not available. A date transfer does not reset or create an additional date-transfer right.
Existing eligible payments may be applied to the transferred reservation. Current pricing, delivery charges, taxes, and add-on pricing for the new date apply.
If the original seasonal experience is not offered for the new date, the customer must select another then-available experience. The Hosted Crates may offer store credit as an alternative when appropriate but is not required to do so.
11. OTHER RESERVATION CHANGES
Reservation changes other than an eligible date transfer must be submitted in writing and are subject to inventory, route, labor, timing, preparation status, and written approval.
Reservation changes requested fewer than seven Calendar Days before scheduled delivery are not accepted unless The Hosted Crates confirms a specific exception in writing.
A change is not effective until approved in writing. The customer may be required to sign a replacement or updated Reservation Contract, approve revised details, and pay any additional balance before the change is effective.
Guest Count Increases
A request to increase the guest count is subject to inventory availability, delivery capacity, timing, and payment of any additional charges.
Guest Count Reductions
A reduction request submitted fewer than seven Calendar Days before delivery will not be accommodated and does not create a right to a refund, credit, item substitution, or repacking adjustment for unused guest-count-based items.
For reduction requests submitted seven or more Calendar Days before delivery, The Hosted Crates may, at its discretion, revise the reservation, remove guest-count-based items, issue a partial adjustment, offer a credit, or leave the reservation unchanged based on inventory, preparation status, and costs already incurred.
The Hosted Crates will not reduce charges for items already purchased, customized, prepared, cleaned, packed, reserved, or made unavailable to another customer.
12. THE COMPLETE AND CURATED STYLING
The Complete is a thoughtfully curated experience designed around the way the customer hosts. Its enhanced value comes from curation and styling rather than automatic personalization.
The Complete may include, as described in the approved reservation, everything included in The Signature together with a Complete Style Profile, curated premium styling pieces, a styling edit tailored to the customer's occasion and hosting plans, one additional styled hosting moment, a tailored setup plan, a Complete Styling Consultation, and expanded decor and statement pieces.
The Complete does not automatically include personalized signage, custom fabrication, unlimited customization, or on-site styling. Any custom or personalized item must be separately purchased, expressly included in the signed contract, or otherwise approved in writing by The Hosted Crates.
13. CUSTOM AND PERSONALIZED ITEMS
If a reservation includes a custom or personalized item that is separately purchased or expressly listed in the signed contract, the customer is responsible for reviewing and approving names, dates, spelling, wording, colors, and other customization details.
Production begins when The Hosted Crates begins design work for production, prepares an approved or customer-submitted design, prints, cuts, assembles, orders, purchases, or otherwise begins creating or sourcing the custom item or special-order material.
Once production has begun, the custom or personalized item, completed design work, and related special-order materials are nonrefundable. This applies even if the reservation is later canceled, transferred, reduced, changed, or otherwise not used.
14. CANCELLATION BY THE HOSTED CRATES
If The Hosted Crates cancels a confirmed reservation and cannot provide a reasonable substitute or mutually accepted alternative, amounts paid for rental services that will not be provided will be refunded.
Any collected Security Deposit will also be returned unless it is properly applied toward another documented amount owed.
The Hosted Crates is not responsible for amounts paid by the customer to unrelated vendors or for indirect event expenses except where applicable law requires otherwise.
15. NO RETAIL RETURN, MAILING, OR SHIPPING
Rental items are not purchased merchandise and may not be returned through a traditional retail-return process.
Customers must not mail, ship, courier, freight, or send rental items through any postal service, parcel carrier, moving company, delivery application, or other third-party transportation service.
The Hosted Crates retrieves rental inventory only through the scheduled pickup process.
16. RELATIONSHIP TO OTHER TERMS
This policy should be read together with the signed Rental Agreement, Reservation Contract, approved pricing and invoices, Delivery, Pickup and Service Area Policy, Safety Policy, and Terms of Service.
For reservation-specific rental obligations, the signed Rental Agreement controls to the extent permitted by law.

Delivery Policy
THE HOSTED CRATES
DELIVERY, PICKUP AND SERVICE AREA POLICY

The Hosted Crates is a local event-rental service based in Williamsburg, Virginia. Rental inventory is delivered and picked up by The Hosted Crates. Customer pickup, customer return, mailing, and shipping are not available.
1. SERVICE AREA
The standard service area includes qualifying addresses within approximately 50 miles of Williamsburg, Virginia 23185.
An address located within a nearby city, county, or ZIP code is not automatically guaranteed service. Eligibility is determined using the exact address, delivery and pickup route, schedule, reservation size, access requirements, and operational capacity.
Requests outside the standard service area may be considered before the reservation is confirmed. If outside-radius service is approved, an extended-delivery fee and additional requirements may apply.
2. DELIVERY AND PICKUP CHARGES
Applicable delivery and pickup charges will be included in the Reservation Contract, invoice, reservation record, or other approved reservation pricing.
Additional charges may apply for service outside the standard delivery radius; tolls or paid parking; restricted access; undisclosed stairs, elevators, or long walking distances; changes to the delivery or pickup address; additional delivery or pickup attempts; recovery trips; additional labor; or pickup from a location other than the scheduled pickup location.
When reasonably possible, additional charges will be communicated before the service is performed.
3. DELIVERY AND PICKUP SCHEDULE
The approved delivery and pickup dates and service windows will appear in the Reservation Contract, reservation record, invoice, or written confirmation.
Unless another schedule is confirmed in writing:
• Delivery is generally scheduled the day before the event during a 3:00 p.m. to 5:00 p.m. Eastern Time service window.
• The Essential and The Signature reservations are generally picked up at approximately 3:00 p.m. on the day after the event.
• The Complete reservations are generally picked up approximately 48 hours after the event date at approximately 3:00 p.m.
Delivery and pickup windows are service windows and are not guaranteed exact arrival times. Traffic, weather, road closures, previous deliveries or pickups, venue restrictions, access issues, emergencies, or other reasonable circumstances may affect arrival.
The Hosted Crates will make reasonable efforts to communicate a significant delay.
4. RESERVATION AND PAYMENT REQUIREMENTS BEFORE DELIVERY
Completing the initial checkout process submits a Reservation Request only. The Reservation Request does not confirm the reservation and does not require the customer to pay a rental payment or Security Deposit at that stage.
After The Hosted Crates approves the request
1. The Hosted Crates sends the customer a Reservation Contract containing approved pricing and the Rental Agreement.
2. The customer signs and returns the required agreement.
3. The Hosted Crates sends an Initial Payment Request for 50% of the approved package and add-ons subtotal.
4. The Initial Payment is due within 24 hours from the time the payment request is sent unless another written deadline is provided.
5. The reservation is confirmed after the required Initial Payment is received.
The Hosted Crates will generally send the Final Payment Request approximately 72 hours before the scheduled event date. It includes the remaining 50% of the approved package and add-ons subtotal, the required Security Deposit, and any other approved amounts that remain unpaid.
The refundable Security Deposit is $100 for a standard reservation or $150 total when Projector + Screen is included. The $150 Security Deposit replaces the standard $100 amount and is not added to it.
All required final payments must be completed by the deadline stated in the Final Payment Request and before delivery.
5. SECURE DELIVERY AND PICKUP LOCATION
The customer must provide one safe, secure, reasonably weather-protected, and accessible location for delivery and pickup.
Unless another arrangement is approved, delivery and pickup must occur at the same designated handoff location.
The customer must provide complete and accurate address and access information, including gate or entry codes; building, apartment, or unit numbers; parking restrictions; stairs; elevators; loading restrictions; venue or community rules; construction; narrow entrances; long walking distances; or other access limitations that may affect service.
The Hosted Crates may decline to enter or service a property that is unsafe, inaccessible, unlawful, or materially different from the information provided. The Hosted Crates may photograph the handoff location and rental inventory to document delivery or pickup.
6. ADULT RESPONSIBILITY AND UNATTENDED HANDOFF
The customer signing the Reservation Contract must be at least 18 years old and remains responsible for the rental inventory from completed delivery through completed pickup.
An adult is not required to be physically present when The Hosted Crates has accepted an unattended secure-handoff arrangement.
For an unattended handoff, the customer must provide an area that is accessible, secure from theft or unauthorized access, reasonably protected from weather, and large enough to safely receive the rental inventory.
Responsibility for the rental inventory transfers to the customer once delivery is completed at the designated location and remains with the customer until The Hosted Crates completes pickup.
7. INSPECTION AFTER DELIVERY
The customer must inspect the rental items promptly after delivery.
Missing, incorrect, incomplete, damaged, or nonworking items must be reported to contact@thehostedcrates.com within two hours after delivery or before the event begins, whichever occurs first. Photos or video may be requested.
Items not reported during the inspection period may be treated as having been received complete and in acceptable condition except for defects that could not reasonably have been discovered during the initial inspection.
8. CUSTOMER TRANSPORTATION TO ANOTHER LOCATION
Customers may transport, use, or store rental items at a location other than the delivery location. Prior approval is not required unless The Hosted Crates states otherwise for a specific item or safety reason.
The customer must notify The Hosted Crates before the items are moved and provide the alternate-use address.
The customer remains responsible for the rental inventory during loading, transportation, unloading, storage, setup, use, repacking, and return to the scheduled pickup location. This responsibility includes loss, theft, breakage, vehicle-related damage, improper securing, weather exposure, Excessive Soiling, and other damage occurring while the rental inventory is transported or used away from the delivery location.
Unless another pickup arrangement is approved in writing, all rental items must be returned to the original designated pickup location before the scheduled pickup window.
Additional travel, labor, recovery, repair, replacement, or pickup charges may apply if rental items are not available at the scheduled location.
9. GUIDED SETUP AND CUSTOMER RESPONSIBILITIES
The Hosted Crates provides delivery and pickup. On-site setup, decorating, styling, event staffing, equipment operation, breakdown, and venue cleanup are not included unless specifically stated in the signed Reservation Contract.
The customer is responsible for unpacking, guided setup, arranging rental items, following visual and written instructions, safely using the rental inventory, supervising guests and children, protecting the rental inventory, repacking, and preparing everything for pickup.
The Complete remains a guided, host-led rental experience. Its Complete Style Profile, tailored setup plan, Complete Styling Consultation, curated styling edit, premium pieces, expanded decor, statement pieces, and other curated elements do not include on-site setup, on-site styling, event staffing, or unlimited customization unless a separate written service is expressly listed in the signed contract.
10. WEATHER AND UNSAFE CONDITIONS
Customers using rental items outdoors must maintain an appropriate indoor or covered backup plan and remain responsible for protecting rental inventory from rain, sprinklers, wind, standing water, mud, flooding, excessive heat or cold, smoke, fire, and other unsafe conditions.
The Hosted Crates may delay, modify, reschedule, refuse, or cancel delivery or pickup when conditions create an unreasonable safety risk.
The Hosted Crates is not required to enter a location or complete service when doing so would create an unreasonable risk to people, vehicles, property, or rental inventory.
11. MISSED OR UNSUCCESSFUL DELIVERY
A delivery may be considered unsuccessful when the address is incorrect or incomplete; required access information was not provided; entry is unavailable; the designated secure location is unavailable; venue or property personnel deny access; the property is unsafe or inaccessible; pets or another hazard prevent service; or a required direct handoff cannot be completed.
The Hosted Crates will make reasonable efforts to contact the customer. A second delivery attempt is not guaranteed and may require an additional charge.
A failed-access or attempted-delivery situation may also be subject to the cancellation provisions in the Return, Cancellation and Refund Policy and Rental Agreement.
12. PICKUP REQUIREMENTS
Before the scheduled pickup window, the customer must:
• gather all rental items at the scheduled pickup location;
• repack rental items, equipment, accessories, and other components according to the provided instructions;
• place items into their assigned cases, crates, bags, containers, or packaging;
• allow heated equipment to cool completely before moving or repacking it;
• turn off and unplug electronics and equipment;
• remove food, beverages, water, ice, trash, tape, decorations, and personal belongings;
• keep rental items dry, secure, protected, and reasonably clean;
• return items transported elsewhere to the scheduled pickup address;
• ensure the pickup location remains accessible; and
• notify The Hosted Crates of missing or damaged items.
If rental items are incomplete, unpacked, wet, unsafe, inaccessible, improperly located, or unavailable during the scheduled pickup window, additional charges may apply for another pickup attempt, recovery, additional travel, additional labor, cleaning, repair, or replacement.
The customer remains responsible for the rental inventory until The Hosted Crates completes pickup and takes possession of the items.
13. NO CUSTOMER PICKUP, RETURN, MAILING, OR SHIPPING
Customer pickup and customer return are not available.
Rental inventory must never be mailed, shipped, sent through a parcel carrier, sent through a postal service, couriered, freighted, sent through a moving company, sent through a delivery application, or transferred to another third-party transportation service.
The Hosted Crates retrieves rental inventory only through the scheduled pickup process.
14. RELATIONSHIP TO OTHER TERMS
This Delivery, Pickup and Service Area Policy addresses local delivery, customer transportation, access, guided setup, repacking, and pickup.
Payments, cancellations, Security Deposit refunds and deductions, custom or personalized items, equipment use, safety requirements, food and allergy responsibilities, recalls, damage, and customer liability are governed by the Return, Cancellation and Refund Policy, Terms of Service, and signed Rental Agreement.
For reservation-specific requirements, the signed Reservation Contract and Rental Agreement control to the extent permitted by law.

OVERVIEW
Welcome to The Hosted Crates.
The terms "The Hosted Crates," "we," "us," and "our" refer to The Hosted Crates. We operate this website and online store and provide curated, ready-to-style rental experiences, event decor, equipment, local delivery and pickup, guided setup materials, styling consultations, curated styling services, add-ons, and related products and services. These offerings are collectively referred to as the "Services."
Our online store is powered by Shopify.
These Terms of Service, together with the policies and agreements referenced in them, describe your rights and responsibilities when you visit our website, submit a Reservation Request, enter into a rental contract, make a payment, receive Rental Items, or otherwise use our Services.
By using the website and, where required, separately accepting or electronically signing an agreement, you agree to the applicable Privacy Policy; Return, Cancellation and Refund Policy; Delivery, Pickup and Service Area Policy; Rental Agreement, Policies & Liability Acknowledgment; Safety, Use & Product Handling Policy; and other reservation-specific terms.
If you do not agree to the applicable terms, you may not use the Services.
SECTION 1 - ELIGIBILITY AND CUSTOMER INFORMATION
You must be at least 18 years old and legally capable of entering into a binding agreement to rent from The Hosted Crates.
You agree that information you provide will be accurate, current, and complete; you are authorized to use the payment method submitted; you have authority to approve delivery and use of rental items at the applicable location; you will comply with the Rental Agreement and safety instructions; and you will update contact, event, delivery, pickup, and payment information when necessary.
The Hosted Crates is not responsible for problems resulting from inaccurate, incomplete, or outdated information supplied by the customer.
SECTION 2 - NATURE OF THE SERVICES
The Hosted Crates provides temporary rental access to curated event inventory. Unless expressly identified as a customer keepsake or item available for purchase, all rental items remain the property of The Hosted Crates.
The Services are host-led, ready-to-style rental experiences. The customer completes setup using the rental items and guidance provided. Unless expressly included in the signed contract, on-site setup, event planning or coordination, professional installation, event-day staffing, equipment operation by The Hosted Crates, breakdown, and repacking by The Hosted Crates are not included.
The Complete is a thoughtfully curated experience designed around the way the customer hosts. As described in the approved reservation, The Complete may include everything in The Signature together with a Complete Style Profile, curated premium styling pieces, a styling edit tailored to the customer's occasion and hosting plans, one additional styled hosting moment, a tailored setup plan, a Complete Styling Consultation, and expanded decor and statement pieces.
The Complete's enhanced value is curation rather than automatic personalization. It does not automatically include personalized signage, custom fabrication, unlimited customization, or on-site styling.
SECTION 3 - WEBSITE IMAGES, RENTAL INVENTORY, AND SUBSTITUTIONS
We make reasonable efforts to accurately describe and display our rental experiences and inventory. Website photographs, mockups, styled scenes, and inspiration images represent the intended design direction and may not depict the exact items or arrangement received.
Colors, textures, finishes, and proportions may vary because of lighting, photography, screens, individual rental pieces, and event conditions. Rental inventory is reused and may display normal signs of use that do not materially affect function or presentation.
Inventory may change because of maintenance, loss, damage, safety concerns, recalls, manufacturer changes, or availability. The Hosted Crates may substitute an unavailable item with a reasonably comparable item that maintains the general purpose, quality, and design direction of the selected experience.
For The Complete, information provided through the Complete Style Profile and Complete Styling Consultation guides the Company's curation but does not guarantee an exact item, color, layout, or reproduction of an inspiration image.
SECTION 4 - RESERVATION REQUEST, APPROVAL, AND CONTRACT
Completing the initial checkout or reservation process submits a Reservation Request only. A Reservation Request does not confirm the reservation or guarantee inventory, a date, an add-on, or delivery availability. No rental payment or Security Deposit is due solely because the Reservation Request has been submitted.
The Hosted Crates reviews the Reservation Request. If approved, The Hosted Crates sends the customer a Reservation Contract containing the approved reservation details and pricing together with the Rental Agreement.
The customer must electronically sign and return the required agreement before The Hosted Crates sends the Initial Payment Request.
A reservation becomes confirmed only after The Hosted Crates approves the Reservation Request, the customer signs and returns the required agreement, and the Initial Payment is successfully received by the required deadline.
SECTION 5 - INITIAL PAYMENT AND FINAL PAYMENT
After the signed agreement is returned, The Hosted Crates sends an Initial Payment Request equal to 50% of the approved package and add-ons subtotal.
The Initial Payment is due within 24 hours from the time the request is sent unless another written deadline is provided.
If the Initial Payment is not received by the deadline, The Hosted Crates may release the date and inventory, cancel the approval, or require a new Reservation Request.
The Hosted Crates will generally send the Final Payment Request approximately 72 hours before the scheduled event date. It includes the remaining 50% of the approved package and add-ons subtotal, the required Security Deposit, and any remaining approved charges.
The Final Payment and Security Deposit are due by the stated deadline and must be received before delivery.
SECTION 6 - SECURITY DEPOSIT
A refundable Security Deposit is required before delivery.
The Security Deposit is $100 for a standard reservation or $150 total when Projector + Screen is included. The $150 amount replaces the standard $100 Security Deposit and is not added to it.
The Security Deposit is separate from rental charges and may be used for documented amounts authorized by the Rental Agreement, including damage, loss, missing items, Excessive Soiling, failure to repack, additional pickup or recovery attempts, repair, replacement, sourcing, transportation, or loss-of-use expenses.
The Security Deposit does not limit the customer's financial responsibility.
After pickup and return verification, the unused portion of the Security Deposit will generally be processed for return within 3 to 5 business days. A bank, card issuer, payment processor, or other payment provider may require additional time for the returned amount to appear.
SECTION 7 - PRICES, BILLING, AND APPROVED CHARGES
Reservation pricing is based on the approved package, guest count, add-ons, styling services, custom items if any, delivery requirements, and other reservation details. Prices and availability may change before a reservation is confirmed.
The signed Reservation Contract controls the approved pricing for the reservation, subject to later customer-requested or mutually approved changes.
Charges may include package charges, add-ons, delivery or extended-delivery charges, applicable taxes, separately approved custom-item charges, Security Deposit, cleaning or damage charges, replacement costs, recovery expenses, or other amounts authorized under the Rental Agreement.
SECTION 8 - CANCELLATIONS, REFUNDS, DATE TRANSFERS, AND CHANGES
Cancellation deadlines are measured from the scheduled delivery date. All cancellation, date-transfer, and reservation-change requests must be submitted in writing.
Seven or More Calendar Days Before Delivery: Eligible payments may be refunded less disclosed and already-incurred nonrefundable amounts, including custom work for which production has begun, special-order purchases, legally nonrefundable payment-processing amounts, and nonrecoverable third-party expenses.
Within Seven Calendar Days Before Delivery: The Hosted Crates may retain a reasonable Cancellation Charge based on work performed, inventory commitment, preparation, route planning, labor, lost booking opportunity, and other documented costs. A standard date transfer is not available within this window.
Forty-Eight Hours or Less: A reservation canceled 48 hours or less before delivery, after route execution begins, after failed access, or after attempted delivery may be treated as fulfilled in whole or in part.
After Delivery: After the reservation has been delivered or made available at the designated location, it is considered fulfilled and is not eligible for a cancellation refund. The Security Deposit is handled separately.
One-Time Date Transfer: A confirmed reservation may receive one approved date transfer when written notice is submitted at least 14 Calendar Days before the scheduled delivery date. The new date is subject to availability and applicable seasonal, route, service-area, labor, and operational restrictions. Current pricing applies to the transferred reservation. If the original seasonal experience is no longer offered for the new date, the customer must select another then-available experience. Once the permitted date transfer has been used, additional date transfers are not available.
Other Reservation Changes: Changes other than an eligible date transfer are subject to availability and written approval. Reservation changes requested fewer than seven Calendar Days before scheduled delivery are not accepted unless The Hosted Crates confirms a specific exception in writing.
SECTION 9 - CUSTOM AND PERSONALIZED ITEMS
Custom and personalized items are not an automatic inclusion of The Complete package. Such items are governed by this section only when separately purchased, expressly listed in the signed contract, or otherwise approved in writing.
Customers are responsible for reviewing names, dates, spelling, wording, colors, and other customization details.
Once production begins, the custom or personalized item, completed custom work, and related special-order materials are nonrefundable.
SECTION 10 - DELIVERY, PICKUP, AND SERVICE AREA
The Hosted Crates provides local delivery and pickup within its published service area, generally within approximately 50 miles of Williamsburg, Virginia 23185. Outside-radius service requires review and approval and may require an additional fee.
Rental items are not shipped.
Unless another schedule is confirmed, delivery is generally scheduled the day before the event. The Essential and The Signature reservations are generally picked up the day after the event. The Complete reservations are generally picked up approximately 48 hours after the event date.
Additional requirements are contained in the Delivery, Pickup and Service Area Policy and Rental Agreement.
SECTION 11 - CUSTOMER TRANSPORTATION
Customers may transport rental items to another location without prior approval unless The Hosted Crates states otherwise for a specific item or safety reason, but they must notify The Hosted Crates before moving the items and provide the alternate-use address.
The customer remains responsible for loading, transportation, unloading, storage, use, repacking, and return to the scheduled pickup location.
Customers may not mail, ship, courier, freight, or otherwise send rental inventory through a third-party delivery service.
SECTION 12 - CUSTOMER RESPONSIBILITIES
Customers must follow all setup, safety, operating, and manufacturer instructions; use items only for their intended purpose; protect rental inventory from weather, theft, pets, unsafe use, and damage; supervise children and guests; discontinue use of an unsafe or malfunctioning item; refrain from altering or repairing rental inventory; complete required repacking; make the complete rental inventory available for pickup; and promptly report loss, damage, malfunction, or relocation.
SECTION 13 - INSPECTION AFTER DELIVERY
Customers must inspect rental items promptly after delivery. Missing, incorrect, incomplete, damaged, or nonworking items must be reported within two hours after delivery or before the event begins, whichever occurs first. Photos, video, item counts, or other documentation may be requested.
SECTION 14 - DAMAGE, LOSS, CLEANING, AND NONRETURN
Customers are responsible for rental inventory that is lost, stolen, destroyed, damaged, altered, excessively soiled, improperly transported, improperly packed, or unavailable for pickup.
Charges may include reasonable cleaning, sanitation, repair, replacement, missing-component, additional labor, recovery, pickup, transportation, sourcing, and loss-of-use expenses permitted under the Rental Agreement. Normal Wear and Tear from proper and reasonable use is not considered damage.
SECTION 15 - SAFETY AND USE OF RENTAL EQUIPMENT
Rental items may involve electricity, heat, cords, glass, food service, fire features, furniture, outdoor use, or other potential hazards. Customers are responsible for following all safety and manufacturer instructions and determining whether rental items are suitable for the event location and intended use.
Children must be appropriately supervised. Customers must stop using any item that appears damaged, unstable, recalled, wet, overheated, defective, or unsafe.
SECTION 16 - MANUFACTURER INFORMATION AND RECALLS
Some rental equipment and consumable products are manufactured by third parties. Manufacturer instructions, warnings, specifications, ingredients, and recall information may change.
Customers are responsible for reviewing applicable labels, instructions, warnings, and current recall information before use.
If The Hosted Crates becomes aware of a material recall or safety issue before delivery, we may remove, replace, substitute, credit, refund, or cancel the affected item or portion of the reservation.
SECTION 17 - FOOD, INGREDIENTS, AND ALLERGENS
The Hosted Crates does not prepare food and does not accommodate or verify food allergies, dietary restrictions, ingredient sensitivities, or other individual dietary requirements.
Customers are responsible for reviewing ingredient lists, allergen statements, cross-contact warnings, preparation instructions, storage requirements, expiration information, manufacturer warnings, and recall information.
The Hosted Crates does not guarantee that any consumable product is allergen-free or appropriate for a particular dietary, religious, personal, or medical need.
SECTION 18 - CUSTOMER-PROVIDED RESOURCES
Unless expressly included in the contract, customers are responsible for providing required food or beverages, electricity, internet or Wi-Fi, streaming accounts, compatible personal devices, venue permissions, and other customer-supplied resources.
The Hosted Crates is not responsible for service failure caused by customer-supplied resources or unrelated third-party services.
SECTION 19 - EVENT LOCATION AND THIRD-PARTY REQUIREMENTS
Customers are responsible for obtaining required venue, property-owner, homeowners' association, municipal, park, or other permissions and for confirming that the event location has adequate space, access, utilities, surfaces, ventilation, and weather protection.
SECTION 20 - INTELLECTUAL PROPERTY
The Hosted Crates' names, logos, trademarks, photographs, graphics, videos, guides, checklists, styling concepts, templates, package descriptions, collection names, experience names, Complete Style Profile materials, tailored setup plans, and The Hosted Method™ are owned by or licensed to The Hosted Crates.
Materials provided with a rental may be used for the customer's personal event. Without written permission, customers may not reproduce, distribute, sell, commercially exploit, or represent these materials as their own.
SECTION 21 - THIRD-PARTY TOOLS AND SERVICES
Our Services may use third-party payment, scheduling, booking, electronic-signature, hosting, communication, analytics, or other providers. These services may have separate terms and privacy practices.
SECTION 22 - RELATIONSHIP WITH SHOPIFY
The online store is powered by Shopify. Reservations, rentals, payments, and agreements made through our store are between the customer and The Hosted Crates. Shopify does not prepare, deliver, pick up, operate, or maintain The Hosted Crates' rental inventory.
SECTION 23 - PRIVACY
Personal information is handled according to the Privacy Policy available on our website. Information may also be processed by Shopify and other providers assisting with payments, booking, signatures, communications, analytics, security, and related operations.
SECTION 24 - REVIEWS, PHOTOGRAPHS, AND FEEDBACK
Customers may voluntarily provide reviews, comments, photographs, videos, or feedback and represent that they have the right to share submitted content.
The Hosted Crates may use voluntarily submitted written feedback for business and marketing purposes. Identifiable private-event photographs will not intentionally be used for advertising without permission or another reasonable indication that the photographs were provided for promotional use.
SECTION 25 - ERRORS, INACCURACIES, AND AVAILABILITY
The website may contain typographical, pricing, inventory, availability, or descriptive errors. We may correct errors and update information.
If a confirmed reservation is materially affected, The Hosted Crates will contact the customer and provide an appropriate option consistent with the signed agreement and applicable law.
SECTION 26 - PROHIBITED USES
Customers may not use the website, Services, or rental items for unlawful, fraudulent, unsafe, abusive, infringing, or unauthorized purposes.
Customers may not submit false information, bypass reservation or payment controls, misuse rental inventory, sublease rental items, commercially rent rental items to another party, interfere with website security, or commercially reproduce The Hosted Crates' materials without authorization.
SECTION 27 - ELECTRONIC COMMUNICATIONS AND SIGNATURES
Reservation-related communications may be delivered electronically through email, text message, online invoices, reservation-platform communications, and electronic-signature tools.
Where electronic acceptance or signature is required, the customer will be presented with an agreement or affirmative acceptance step. Payment by itself is not treated as the customer's separate consent to conduct a transaction electronically when separate consent is required.
SECTION 28 - TERMINATION AND REFUSAL OF SERVICE
The Hosted Crates may decline a Reservation Request, suspend preparation, terminate access, or cancel an unfulfilled reservation when permitted by the Rental Agreement, these Terms, published policies, or applicable law. Reasons may include nonpayment, fraud, unsafe conditions, abusive conduct, material misrepresentation, policy violations, or inability to safely fulfill the reservation.
SECTION 29 - DISCLAIMER OF WARRANTIES
Rental items are previously used rental inventory and may display normal wear.
To the fullest extent permitted by law, and except for express obligations contained in a signed Rental Agreement, the website, Services, guidance materials, products, and rental inventory are provided "as is" and "as available."
Nothing in these Terms excludes a warranty or consumer right that cannot legally be excluded.
SECTION 30 - LIMITATION OF LIABILITY
To the fullest extent permitted by law, The Hosted Crates and its owners, employees, contractors, agents, service providers, and licensors will not be liable for indirect, incidental, special, punitive, or consequential losses.
Nothing in these Terms limits liability that cannot legally be limited, including liability arising from gross negligence or willful misconduct where applicable law prohibits such limitation.
SECTION 31 - INDEMNIFICATION
To the extent permitted by law, customers agree to be responsible for third-party claims, losses, damages, or reasonable expenses arising from their material breach of these Terms or Rental Agreement, unlawful or unauthorized use, unsafe conditions under their control, conduct of guests or vendors, improper transportation or misuse of rental items, or failure to follow applicable safety or allergy information.
This section does not require the customer to indemnify The Hosted Crates for The Hosted Crates' own gross negligence or willful misconduct.
SECTION 32 - EVENTS OUTSIDE OUR CONTROL
The Hosted Crates will not be considered in breach for delay or failure caused by circumstances beyond our reasonable control, including severe weather, natural disaster, fire, flooding, road closures, government orders, public emergencies, utility failure, vehicle emergency, supplier failure, sudden inventory damage, or manufacturer recall.
Available remedies will be determined under the Rental Agreement and Return, Cancellation and Refund Policy.
SECTION 33 - GOVERNING LAW AND DISPUTE RESOLUTION
These Terms and transactions with The Hosted Crates are governed by the laws of the Commonwealth of Virginia.
Before filing legal action, the parties agree to make a reasonable good-faith effort to resolve the matter through written communication.
Any claim must be brought within the period permitted by applicable law or within another legally enforceable period expressly stated in the signed Rental Agreement.
SECTION 34 - ORDER OF PRECEDENCE
The following documents are incorporated by reference where applicable: the signed Rental Agreement and Reservation Contract; approved reservation pricing and invoices; the Return, Cancellation and Refund Policy; the Delivery, Pickup and Service Area Policy; the Safety, Use & Product Handling Policy; the Privacy Policy; and these Terms of Service.
For rental-specific matters, the signed Rental Agreement controls. For a matter specifically addressed by another published policy, that specific policy controls over more general language in these Terms.
SECTION 35 - SEVERABILITY
If a provision is found unlawful or unenforceable, it will be enforced to the fullest extent permitted or severed to the minimum extent necessary. The remaining provisions remain effective.
SECTION 36 - WAIVER AND ENTIRE AGREEMENT
Failure to enforce a provision does not waive the right to enforce it later.
The applicable signed Rental Agreement, Reservation Contract, approved pricing, invoices, and incorporated policies constitute the agreement governing the applicable rental transaction.
SECTION 37 - ASSIGNMENT
Customers may not assign or transfer their rights or responsibilities under a reservation without written approval.
The Hosted Crates may assign business rights and obligations in connection with a lawful sale, restructuring, transfer, or continuation of the business.
SECTION 38 - HEADINGS
Headings are provided for convenience and do not change the meaning of these Terms.
SECTION 39 - CHANGES TO THESE TERMS
The Hosted Crates may update these Terms by posting a revised version.
A later policy update will not ordinarily alter a previously signed rental contract unless required by law, required for safety, permitted by the signed agreement, or accepted by the customer.
